Cancellation Policy

This policy explains how cancellations, rescheduling and late arrivals are handled for online counselling sessions.

Giving Notice

Clients are requested to give at least 24 hours' notice before cancelling or requesting to reschedule an appointment. This allows the practice to manage its schedule and offer the appointment to another client where possible. Please notify the practice as early as possible if you cannot attend.

Late Cancellations and Missed Appointments

No cancellation fee is charged, including when less than 24 hours' notice is given. If you cannot attend a confirmed appointment, please inform the practice as soon as possible. If you miss an appointment without notice, the practice may contact you to discuss future bookings.

Late Arrivals

Clients are encouraged to be ready at the agreed appointment time. A late session may still need to end at its original finishing time to avoid affecting other appointments.

Technical Problems during Online Sessions

If technical problems interrupt a session, reasonable efforts will be made to restore the connection or agree on another suitable arrangement. Where the session cannot continue, rescheduling may be considered depending on the circumstances.

Cancellation by the Practice

If the practice needs to cancel or reschedule an appointment, the client will be informed as soon as reasonably possible. Any payment already made for a session cancelled by the practice will be discussed with the client for rescheduling or refund arrangements.
